GENERAL SERVICE REPRESENTATIVE (GSR)
  1. The suggested GSO guideline for becoming a GSR is two-years of sobriety. The GSR is the most important position in the AA service structure. The GSR represents the Home Group for all votes cast at the District meeting and Area Assembly, and is responsible for carrying information from the District and Area back to the Home Group.
  2. All GSRs will receive a GSR Kit from GSO containing information about the AA service structure and the responsibilities of being a GSR. The GSR is expected to read this information and refer to it frequently. In addition, the GSR will obtain, read, and become familiar with the NIA Service Handbook. The GSR will also acquire a copy of the AA SERVICE MANUAL from GSO and will become familiar with the material contained therein.
  3. The GSR is elected by their Home Group and is expected to regularly attend the monthly District meetings as well as four Area Assemblies where the GSR votes on matters affecting all of AA. Attendance at these business meetings is an important part of the GSR’s responsibilities. The GSR is expected to serve a two- year term as recommended the AA SERVICE MANUAL and a GSR can only represent one Group at a time because a GSR only gets one vote at District and Area meetings.
  4. The GSR is encouraged to attend as many District 42 events as possible, including Workshops. Attendance at NIA Assemblies is required and Area Committee Meetings attendance is optional. The GSR will ensure that a sufficient number of current DuPage County Meeting Directories is maintained by the Home Group.
  5. The GSR is the mail contact for the Home Group, and contact information for the GSR is included in the FNV database. This database is maintained by GSO and updates to information in FNV are made by the NIA Registrar. When a new GSR or Alternate GSR is elected, it is important that this information be conveyed to the DCM and LCM for forwarding to the NIA Registrar for input into the FNV database.
  6. The GSR will receive the NIA Concepts newsletter and Box 459 from GSO. The GSR should read these two newsletters to keep abreast of ongoing AA activities, and take these two publications to their Home Group. Relevant information in these two publications should be announced at the Home Group meeting.
  7. The GSR should be willing to assume a District Office or Committee Chair position. In addition, the GSR will provide oral reports to their Home Group and encourage members to get more involved in AA service activities. Identification of open service positions in District 42 should be included in this oral report.
ALTERNATE GSR
  1. Each Group should have an Alternate GSR. Because of the importance of this position, it isheartily suggested that that person should have at least one-year of sobriety.
  2. All the same AA support materials should be read and understood by the Alt GSR: The AA SERVICE MANUAL from GSO, and the NIA Service Handbook.
  3. Any new Alt. GSR will inform the District DCM and LCM so that they may be included in the appropriate databases for the District, Area, and GSO.
  4. The Alternate GSR is elected for a two-year term by the Home Group and is to serve as backup to the GSR. If the GSR is unable to attend a District or Area business meeting the Alt. GSR is to
    attend and is to vote in place of the GSR. If they are both at the same meeting, only the GSR is permitted to vote.
  5. The GSR and the Alt GSR can trade off in going to Area Assemblies if they choose to do so. The only caveat is that they make sure one of them is there to vote on behalf of their Home Group.
  6. The Alt. GSR will also the Home Group’s GRAPEVINE Representative and as such will maintain a supply of subscription forms. The Alt GSR will ensure that the Home Group has its own subscription to the GRAPEVINE (subject to Group approval), and the Alt GSR will be the person to whom the GRAPEVINE Magazine is mailed.
DISTRICT COMMITTEE MEMBER (DCM)
  1. The general attributes for District 42 Officers given on page 3 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The DCM should have a minimum of four years of sobriety consistent with GSO guidance. This position requires individuals having a demonstrated commitment to AA service. It is strongly recommended that the DCM should have a prior service history in District 42.
  3. The DCM is elected by the voting members of the District in attendance at the October meeting on all even numbered years and will serve a two-year term, beginning the following January 1st.
  4. The DCM is a link between the individual AA Groups in District 42, to the NIA, and GSO. The DCM carries the collective conscience of the AA Groups in District 42 to the Area Committee. As a voting member of the Area Committee, the DCM is expected to attend all NIA Committee Meetings, Assemblies, and Workshops. If he/she cannot attend then the ALT. DCM MUST attend.
  5. The DCM chairs the monthly District 42 meeting and helps to develop the Agenda for the meetings. That Agenda is given to the ALT Secretary for distribution to the GSRs and District Trusted Servants one week before the next District Meeting. Those meetings are held on the third Tuesday of the month at 7:00 PM.
  6. The DCM makes monthly reports and keeps the GSRs informed on all relevant NIA and GSO activities and business at this meeting. The DCM votes on all District matters as well as at Area Committee meetings
  7. The DCM shall perform his/her duties in accordance with the guidance given in the AA SERVICE MANUAL from GSO and NIA Service Handbooks and Manuals.
  8. The DCM is NOT responsible for resolving any Traditions problems that may arise in the District. According to our Traditions: EACH GROUP HAS THE RIGHT TO BE WRONG. Any issues that a GROUP cannot be resolve by itself should be taken to GSO for guidance and the collective wisdom of AA.
  9. The DCM will help to acquaint GSRs with the GSO and NIA Service Handbooks and Manuals, and stands ready to hold sharing sessions and Workshops on any AA service related subject.
  10. The DCM in conjunction with the Alt DCM and LCM will make a coordinated effort to visit Groups that do not have a GSR in an effort to help more AA Meetings become AA Groups by joining the AA service structure.
  11. The time required for the DCM position is estimated to be approximately 20 hours per month, although more time may be required in certain months. The time required for the DCM position is a result of shared responsibility with the ALT DCM.
ALTERNATE DISTRICT COMMITTEE MEMBER (ALT DCM)

Given the fact that the AA Service Manual from the GSO only provides 3 sentences for a description of what an Alt. DCM should be doing, and in keeping with our responsibilities under the 12 Traditions we suggest the following duties be assumed by the Alt DCM in the spirit of shared responsibility.

  1. The general attributes for District 42 Officers given on page 3 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate DCM should have a minimum of four years of sobriety consistent with GSO guidance. The ALT DCM is elected by the voting members of the District in attendance at the October business meeting on all even numbered years and will serve a two-year term, beginning the following January 1st.
  3. The Alternate DCM plays a very important role in District 42. The Alternate DCM assists the DCM in conducting the business of the District, and stands ready to assume the DCM position should the DCM resign or be unable to serve the remainder of their term for any reason. It is suggested that the Alternate DCM will stand for the DCM position at the end of the 2-year rotation. This would help ensure continuity of District 42 service activities.
  4. Alt DCM shall hold no other positions during the time of being Alt DCM.
  5. The Alt DCM will understand and practice the principles listed in the NIA Service Handbook as well as the AA SERVICE MANUAL, and perform duties as described therein as those required by D-42.
  6. The Alt DCM will fill in for the DCM when that person is absent from District business meetings and Area Assemblies and Area Committee meetings and will Vote at Area meetings only in case the DCM is absent. The Alt DCM does vote at all District business meetings.
  7. The Alt. DCM will check the District 42 website periodically and notify the WEBMASTER and the DCM of any inaccuracies or concerns.
  8. The Alt DCM will work closely with the Alt Secretary on the dissemination of information to the District and AA as a whole.
  9. The Alt DCM will work closely with, and supervise the LCM Committee to see to it that all new groups, GSRs, and Alternates are properly registered through the FNV database system.
  10. Time required for ALT DCM position is estimated to be 20 hours per month including attending the monthly District meeting and any Area meetings as necessary.
  11. Alt DCM will assist in training new GSRs in the AA SERVICE MANUAL and NIA Handbook.
  12. The ALT DCM, in conjunction with the DCM and LCM will make a coordinated effort to visit
SECRETARY
  1. The general attributes for District 42 Officers given on page 3 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Secretary is recommended to have a minimum of 2 years of sobriety.
  3. The Secretary is elected by the voting members of the District in attendance at the October business meeting on all even numbered years and will serve a two-year term, beginning the following January 1st.
  4. The Secretary will take minutes at the monthly District meeting making every effort to accurately record all important Motions and Votes. Accurate and proficient typing skills are a must, as is the ability to use email.
  5. The Secretary will submit the Minutes at the following District meeting for an approval vote, and will make any changes to the Minutes as appropriate. The Secretary shall also ensure that (6) hard copies of the previous month’s Minutes are available at each District meeting.
  6. The finalized and approved Minutes will become part of the formal record for inclusion in the District 42 Archives. These Minutes will be given to Archives by the Alt Secretary
  7. The Secretary will provide input to the DCM in developing the Agenda for the monthly District meeting. A reasonable number of hard copies (6) of each month’s Agenda will also be made available at the District meeting.
  8. The Secretary will distribute the attendance sheet at the District meeting, and collect it following the meeting. A copy of each month’s attendance sheet will be provided to the District 42 Archives by the Alt Secretary.
  9. The Secretary will attend as many NIA Assemblies as possible, become acquainted with the NIA Secretary, and participate in breakout sessions at the Assemblies.
  10. The time required for the Secretary position is expected to be about 5-10 hours per month including attendance at the District meeting.
ALTERNATE SECRETARY
  1. The general attributes for District 42 Officers given on page 3 apply to this service position, as appropriate to the specific responsibilities of this position
  2. The Alt. Secretary should have a minimum of one-year sobriety.
  3. The Alt. Secretary will fill in for the Secretary and take meeting minutes and notes when the Secretary is unable to attend the District business meeting. The Alt Secretary will vote on all matters at the District meetings.
  4. The Alt. Secretary will be the electronic connection hub to all parts of the District via emails sent, and received.
  5. The Alt. Secretary must to have a very good working knowledge of computer usage and typing skills, as the Alternate Secretary is required to maintain the District Trusted Servant database, and create emails, use email and attachment functionality, create PDFs, etc.
  6. The Alt. Secretary will ensure that the District Archives are provided a copy of all approved Minutes, and monthly attendance sheets.
  7. The Alt. Secretary will ensure that the Agenda is received from the DCM and distributed electronically to the GSRs and Committee chairs and Alts. one week prior to the District meeting.
  8. The Alt. Secretary will assist the DCM in sending and receiving communications and information between the various Groups, Committees, the NIA, and the GSO.
  9. The Alt. Secretary will accept Workshop flyers from the Workshop Chair or Hosting Group and ensure that they are distributed electronically to GSRs.
  10. The Alt Secretary will prepare 60 copies of each Workshop flyer available for handouts at each District meeting.
  11. Time required per month should be approximately five – ten (5-10) hours including attendance at the District meeting.
TREASURER
  1. All the same Generic requirements apply to the Treasurer position as to all the other District Officers as found on page 3.
  2. Because of the responsibility this position entails the Treasurer should have a minimum of two (2) years of continuous sobriety, have strong math skills, and have a good working knowledge of spreadsheet and/or bookkeeping software.
  3. The Treasurer will prepare monthly reports to be presented at the District business meetings showing all the District income and expenses from all sources, as well as including a copy of the monthly bank statement for the District. This provides the Groups with information about how much they have donated that year.
  4. The Treasurer’s Report will also include a year-to-date spending and budget recap for all Service Committees so that they, and the Fellowship may know, how much of their budget has been spent.
  5. Treasurer will maintain a contact list of the different Group Treasurers in the District and provides support when requested.
  6. The Treasurer shall write all checks to pay the District’s bills, and to reimburse the Committee Chairperson(s) and District Officers for properly documented and authorized expenses upon getting the receipt for that expense. Any outgoing donations the District votes to make to the NIA or GSO are sent by the Treasurer.
  7. The Treasurer shall make bank deposits as needed and balances the District bank statement each month.
  8. The Treasurer has a key to the District PO Box and shall retrieve the mail, including donations from the different Groups. Those donations are recorded as coming from each group.
  9. Treasurer shall help prepare each upcoming year’s budget, working with the DCM, and the various committee chairs.
  10. Time per month to do this job including going to the mail box, the bank, and the District meeting is estimated to be approximately eight (8) hours per month.
  11. Treasurer will be responsible to abide by all State and Federal tax laws and procedures.
ALTERNATE TREASURER
  1. All the same Generic requirements apply to the Alternate Treasurer position as all the other District Officers as found on page 3.
  2. The Alternate Treasurer will also be an authorized signer on the District Bank account in the event something happens to the Treasurer.
  3. Because of the responsibility this position entails the Alt Treasurer should have a minimum of 1-2 years of continuous sobriety, have strong math skills, and have a very good working knowledge of accounting and/or bookkeeping software.
  4. Alternate Treasurer will fill in and give reports when the Treasurer is not available and may vote on all matters before the District Committee.
  5. The Alternate Treasurer will perform other accounting functions for the District as directed by the Treasurer.
ACCESSIBILITIES COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on Page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Accessibilities Committee brings the AA message to individuals having difficulty participating  in AA due to physical, mental, geographic, cultural, or ethnic challenges. Activities of the Committee should be conducted in accordance with the guidance given in the GSO Accessibilities Workbook.
  3. The Committee Chair maintains a list of volunteers willing to provide rides to AA meetings and events for individuals who are not able to drive themselves. The Committee will also bring AA meetings into specific facilities for the care of the elderly (nursing homes, hospitals, etc.) as requested.
  4. The Accessibilities Chair will maintain a supply of Conference-approved literature (including Big Books, Pamphlets, and other relevant materials) that can be used by the visually and / or hearing impaired. The Committee Chair should maintain close contact with the BTG, CPC, PI, and Literature Chairs to ensure that all available materials are being used.
  5. The Committee Chair shall keep a list of individuals who can use American Sign Language, as well as individuals who are fluent in Spanish, and willing to provide support at AA meetings as needed. The Committee Chair will notify the DCM of any concerns or issues that cannot be resolved by the Committee.
  6. The time required for the Accessibilities Committee Chair position is expected to be approximately five (5) hours per month.
ALTERNATE ACCESSIBILITIES COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate Accessibilities Committee Chair should have a minimum of one (1) year of sobriety.
  3. The Alternate Accessibilities Committee Chair will assist in all phases for Accessibilities activities as directed by the Chairperson.
  4. The Alternate Accessibilities Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  5. The Alternate Accessibilities Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
ARCHIVES / ARCHIVIST
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Archives Committee and Archivist activities should be conducted in accordance with the GSO Archives Workbook and GSO and NIA guidance for managing archival records.
  3. The District Archivist is the curator of the Archives Collection, and is responsible for the storage of the materials, paying the rent for storage, maintaining the physical integrity of archived materials, and making them available for viewing as needed.
  4. The Archives Committee Chair is responsible for recruiting individuals to receive, classify, and index all relevant materials. The Committee shall become familiar with the District Archives Collection, and work with the Archivist to properly preserve and store all archival materials.
  5. The Archives Committee will work with the Archivist to determine which materials are best suited to be added to the District 42 archives. The Archives Committee will assist with the completion of Group histories and obtaining oral histories from long-term members of AA.
  6. The Archives Committee Chair should create and maintain a display that describes District 42 Archival materials that can be available for use at relevant events or activities. The Archives Committee Chair will coordinate with the Archivist to transport, set-up, and present the display materials.
  7. The estimated time commitments for these positions are based upon a) the discretion of the persons entrusted with the positions; b) their understanding of the job description requirements; and c) expectations as communicated by the District membership.
ALTERNATE ARCHIVES
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate Archives Committee Chair will assist in all phases for Archives activities as directed by the Chairperson.
  3. The Alternate Archives Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  4. The Alternate Archives Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
BREAKTHROUGH EDITOR
  1. The General attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Breakthrough Editor is responsible for preparing the District 42 bi-monthly newsletter. The Editor must have a sound working knowledge of the Twelve Steps and the Twelve Traditions so that the articles are appropriately written and edited for content.
  3. The newsletter should seek to inform, educate, and entertain AA members in District 42. Prior journalism experience is not necessary; a willingness to carry the message is a prerequisite. The Editor should attend the monthly District meeting and stay informed of District 42 and NIA news, events, and Committee activities for inclusion in the newsletter.
  4. The Editor should have access to a secure computer with word-processing software, and the ability to format the newsletter in an appropriate format. Creative and artistic control of the Breakthrough is the sole province of the Editor. Artwork, graphics, and the like may be used at the discretion of the Editor.
  5. The Editor is responsible for sending the finished product to the printer at no less than seven (7) business days prior to the District meeting. The Editor is also responsible for bringing 950 printed copies of the newsletter to the District meeting, from which GSRs will take copies for circulation at the group level.
  6. The time required for the Breakthrough Committee chair position is expected to be approximately ten (10) hours per month.
ALTERNATE BREAKTHROUGH CHAIR
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate Breakthrough Committee Chair will assist in all phases for Breakthrough activities as directed by the Chairperson.
  3. The Alternate Breakthrough Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  4. The Alternate Breakthrough Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
COOPERATION WITH THE PROFESSIONAL COMMUNITY (CPC) COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The CPC Committee provides information about AA to professionals who interact with the alcoholic. This group could include doctors, lawyers, bail bondsmen, counselors, police, and fire departments. Activities of this Committee should be conducted in accordance with the guidance given in the GSO CPC Workbook.
  3. The CPC Committee provides relevant pamphlets, AA-approved literature, and DuPage County Meeting Directories to professionals. Literature distribution and face-to-face contact with these professionals should be conducted to describe AA, and let them know what AA does and does not do for alcoholics.
  4. The CPC Committee Chair should create and maintain a display explaining AA to professionals. This display can be made available for use at relevant events in District 42, NIA, and other activities in DuPage County. Guidelines and examples for such displays can be found in the GSO CPC Workbook.
  5. The CPC Committee should create and maintain a listing of contacts made in the professional community, the name of specific contacts and their contact information, and the organization(s) they represent. Samples of letters for communication with members of the professional community can also be found in the GSO CPC Workbook.
  6. The CPC Committee Chair should work in close cooperation with the BTG, CF, PI, and TF Committee Chairs to maximize the reach to the still-suffering alcoholic and avoid unnecessary duplication of effort. 
  7. The time required for the CPC Committee Chair position is expected to be approximately 10 – 20 hours per month.
ALTERNATE CPC COMMITTEE CHAIR
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate CPC Committee Chair will assist in all phases for CPC activities as directed by the Chairperson.
  3. The Alternate CPC Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  4. The Alternate CPC Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
CORRECTIONAL FACILITIES COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position. In addition, the Committee Chair must have no “Wants or Warrants”, including parole and / or probation for at least five (5) years, or, as per each Facility’s rules. The Committee Chair should have at least five (5) years of continuous sobriety, and be sponsored currently.
  2. The Correctional Committee (CF) Chair coordinates District 42 activities related to carrying the AA message to incarcerated individuals. The activities of this Committee shall be in accordance with the guidance provided in the GSO Correctional Facilities Workbook. The CF Chair should have a strong knowledge of the Twelve Traditions.
  3. The CF Chair is responsible for recruiting and training volunteers to share the AA message with inmates. The Chair shall also have frequent contact with JUST of DuPage.
  4. The CF Chair should participate in District service workshops to train and to recruit correction facilities volunteers.
  5. The CF Chair shall maintain a supply of AA-approved literature for use while visiting individuals in DuPage County Jail and other Correctional facilities. This material must also meet the requirements of the respective facility.
  6. All CF Committee members must pass the respective background checks of the facilities being visited, as well as have no “Wants or Warrants” for a period of five (5) years, or as per each Facility’s rules.
  7. The CF Chair shall promote the use of the Pink Can fundraising effort.
  8. The CF Committee Chair should also work in cooperation with other Committee Chairs and other CF Committees in the Area, such as Districts 40, 41, and 43.
  9. The estimated time required for the CF Committee Chair is expected to be approximately five (5)\ hours per month, including District Business meetings and NIA assemblies.
ALTERNATE CORRECTIONAL FACILITIES (CF) COMMITTEE CHAIR
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position. In addition, the Alternate Chair must have no “Wants or Warrants”, including parole and / or probation for at least five (5) years, or as per each Facility’s rules. The Alternate Chair should have at least five (5) years of continuous sobriety, and be sponsored currently.
  2. The Alternate CF Committee Chair will assist in all phases for CF activities as directed by the Chairperson.
  3. The Alternate CF Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  4. The Alternate CF Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
GRAPEVINE COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Grapevine Committee is responsible or promoting readership of the Grapevine according to the guidelines provide in the GSO Grapevine Workbook. The Grapevine Committee functions as the District 42 information repository for the Grapevine.
  3. The Grapevine Committee Chair will develop and maintain a display to promote the Grapevine at District 42 functions, events, and activities. The Grapevine Committee shall participate in such events and promote the Grapevine as appropriate.
  4. The Grapevine Committee Chair will provide subscription forms and copies of the Grapevine to Groups and individuals a requested, and will visit meetings to promote the Grapevine.
  5. The Committee Chair will inform the District when the Grapevine is soliciting article submissions on specific topics. The Committee will also provide information on various publications and e-books available from the Grapevine, as well as information for the Grapevine digital archive and website.
  6. The suggested time required for the Grapevine Committee Chair position is expected to be approximately six – seven (6-7) hours per month.
ALTERNATE GRAPEVINE COMMITTEE CHAIR
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.
  2. The Alternate Grapevine Committee Chair will assist in all phases for Grapevine activities as directed by the Chairperson.
  3. The Alternate Grapevine Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.
  4. The Alternate Grapevine Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.
LITERATURE COMMITTEE
  1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position. In addition, for this Committee, the Chairperson and Alternate are heartily suggested to have a minimum of two (2) years of continuous sobriety.
  2.  The Literature Committee coordinates the purchase of AA-approved literature from GSO for use in District 42 and will conduct activities in accordance with guidance given in the GSO Literature Workbook. A supply of this literature and newcomer packets is maintained by the Committee for purchase by individual AA Groups. LOCAL COMMITTEE MEMBER (LCM)

1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.

2. The LCM keeps in regular contact with District 42 Groups to ensure that information contained in the FNV database is current. The LCM will provide regular updates of information for the various Groups and meetings (such as changes to meeting locations and new GSRs) to the NIA registrar.

3. The LCM should visit those meetings that do not have GSRs and encourage them to elect a GSR. In addition, the LCM should visit meetings whose GSR has not been to the District 42 monthly meeting for several months to encourage better participation. Copies of District 42 publications such as the Breakthrough newsletter and Workshop flyers should be taken to these meetings to encourage participation at the District level. It should be clearly noted that the LCM is not meant to be a de facto GSR for the Group.

4. For those meetings that do not have a GSR, the LCM should obtain the information for one person who regularly attends that meeting to become the contact person for that meeting. Oftentimes this will be the meeting Treasurer. This individual will not have voting rights at any District 42 meeting or NIA Assembly, but this information will be added to the FNV database as required by NIA.

5. The LCM should keep a supply of DuPage County Meeting Directories, the two pamphlets The AA Group and GSR May Be the Most Important Job in AA, and other information that may be relevant to encouraging Groups and meetings to become more involved in District activities. The LCM is responsible for maintaining an accurate listing of meetings in the “DuPage County Meeting Directory” by supplying the Directory Coordinator with all changes to meetings within District 42 as they occur, rather than waiting until the next printing. The Directory Coordinator processes all updates to this Directory for all 4 Districts within DuPage County.

6. The LCM should assist new meetings in completing the paperwork for registration with the NIA registrar for entry into the FNV database. The NIA registrar provides this information to GSO via the FNV database. Also, the LCM should assist any meetings that are not currently registered with GSO as being autonomous in doing so. If necessary, the LCM can complete this paperwork for the Group and submit it to the NIA registrar.

7. The LCM should have sufficient time and means of transportation to visit meetings, including those that occur during working hours. A valid driver’s license and reliable car are generally required for this position.

ALTERNATE LOCAL COMMITTEE MEMBER (LCM)

PUBLIC INFORMATION (PI) COMMITTEE

1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position. In addition, for this Committee, the Chairperson and Alternate are heartily suggested to have a minimum of two (2) years of continuous sobriety.

2. The PI Committee provides information about AA to the outside community using such outlets as libraries, schools, churches, and community centers. Activities of this Committee should be conducted in accordance with the guidance given in the GSO PI Workbook.

3. The PI Committee Chair is the focal point of District 42 contact with outside individuals and media. Activities may include contact with a variety of organizations, including individuals in print, radio, television, films, various digital platforms, and future communication technologies not yet developed. All contact and information exchange needs to be conducted in accordance with the AA Traditions, with special emphasis given to anonymity protection.

4. The PI Committee Chair should maintain a supply of pamphlets, AA-approved literature, and DuPage County Meeting Directories that can be used to describe AA to interested organizations and professionals. Literature distribution and face-to-face contact should be conducted to describe AA, and let them know what AA does and does not do for alcoholics.

5. The PI Committee Chair should create and maintain a display explaining AA to the general public. This display should be made available for use at District 42, NIA, and other activities in DuPage County. The PI Committee will participate in such events as appropriate.

6. The PI Chair should have knowledge and understanding of the Twelve Traditions.

7. The PI Committee Chair should work in close cooperation with the BTG, CPC, CF, and TF CommitteeChairs to maximize the reach to the still-suffering alcoholic and avoid unnecessary duplication of effort.

8. The time required for the PI Committee Chair position is expected to be approximately five – ten (5-10) hours per month.

ALTERNATE PUBLIC INFORMATION (PI) COMMITTEE CHAIR

TREATMENT FACILITIES (TF) COMMITTEE

1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position. In addition, for this Committee, the Chairperson and Alternate should have a minimum of five (5) years of continuous sobriety. Committee Volunteers should have at least one (1) year of sobriety.

2. The TF Committee will coordinate District 42 activities in carrying the AA message to individuals in hospitals and other facilities through meetings, speakers, and literature distribution. All activities of this Committee shall be in accordance with guidance given in the GSO TF Workbook. The Committee Chair will be responsible for educating volunteers on how AA cooperates but does not affiliate with Treatment Facilities.

3. The TF Committee will conduct its activities in accordance with all requirements of the facility, including length of sobriety for volunteers. The Committee Chair is responsible for ensuring that all individuals visiting these facilities meet and abide by these requirements.

4. The TF Chair should maintain a supply of pamphlets, AA-approved literature (specifically Big Books), and DuPage County Meeting Directories that can be used by volunteers visiting the Treatment Facilities. The purchase of this material will be coordinated with the District 42 Literature Committee. Receipts for literature purchased by Committee members should be provided to the District 42 Treasurer for reimbursement.

5. All AA meetings being held in Treatment Facilities are to be evaluated periodically for correctness and staffing. Each meeting should be accordance with all AA Traditions so that we do not damage AA’s effectiveness in carrying the message to the still-suffering alcoholic.

6. The TF Committee Chair will personally visit each facility and explain the services that District 42 can provide. The Chair will seek ways for the District to be of service, as well as explaining our Traditions and what we can and cannot do.

7. The TF Committee Chair should work in close cooperation with the BTG, CPC, CF, and PI Committee Chairs to maximize the reach to the still-suffering alcoholic and avoid unnecessary duplication of effort.

10. The time required for the TF Committee Chair position is estimated to be approximately ten (10) hours per month. This time estimate is based upon having an effectively scheduled and staffed Committee. This estimate does not include time spent serving as a volunteer and attending meetings in the facilities.

ADDENDUM TO DISTRICT 42 TREATMENT FACILITIES COMMITTEE JOB DESCRIPTION

I. Background

    A. Job Descriptions: For many years District 42 (“D42”) lost its job descriptions, originally created in or around 2000. When the job descriptions were revived and emended in 2016, they continued to lack description as to the duties actually performed by the chairperson and alternate that were specific to D42 Treatment Facilities Committee (“TFC”).

    B. AA Volunteers: Confused by this lack of direction, the chairperson typically did nothing. Many “ad hoc” situations were created, where individuals, groups and other districts began carrying the message in the facility located in D42. For example, various groups sponsored and took a meeting in once a week to the Hinsdale Hospital detox unit, 7 days per week and other districts assumed responsibility of Good Samaritan Hospital (“GSH”). Many of the volunteers were AA members that resided or attended meetings in D42 throughout the years. The D42 TFC chairperson is there to assist and provide what the facility, professionals, and the AA members need to successfully carry the message. This usually includes providing the books, and making and distributing flyers to recruit volunteers or creating a new meeting at the facilities’ or professionals request(s). (Examples of volunteer recruitment flyers have been provided.)

II. Signpost Mentality

    A. No Controversy: Remember, wherever you go, and when dealing with the professionals, that you are a signpost for Alcoholics Anonymous (“AA”). We NEVER engage in controversy and are mindful that the professionals will not understand our “in-house” squabbling. We have found it most helpful not to gossip or respond to a fellow member who feels like TFC is trying to take something away from him or her. Our goal is to be helpful in any way possible whether to the individual, AA group, another district, or the professionals.

    B. Appearance: Since we are guests at their facility, we must always dress and act appropriately and follow whatever rules they set down without confrontation, inappropriate language, or grumbling. But ‘cheerfully’ represent AA always. To act otherwise could jeopardize their willingness to allow us in their facility depriving us of the 12-step activity that keeps us sober.

III. Priority – Contributions for Books

    A. Background: Depending on the leadership at D42, the TFC has experienced adverse circumstances. For example, the DCM unilaterally cut 2/3 of the TFC budget at one time. This resulted in the current practice of approaching the groups for contributions directly. Be aware that not everyone in AA feels that we should give the book away. While we never engage in controversy, be prepared to present information to encourage an informed group conscience. Do not be upset if they do not agree, members may still come up to donate individually and you will have new allies. Even if they do not contribute, ‘cheerfully’ move on to the next group. We must work to win over any naysayers.

    B. Some strong arguments:

  1. Responsibility statement: no “*” or footnote; it does not stop at district or area… “anyone, anywhere…”
  2. Facilities outside D42: individuals in facilities outside D42 may and do live in D42, and often stay sober to come back into D42 and put money in the basket. They are told that the members of AA, through the 7th Traditions contributions, have purchased the book given to them and we need them to stay sober to be ambassadors when they return to our meeting to encourage the belief that we should give our book away.
  3. Profits from literature, (nearly 60% in 2017), go to support the AA service structure, including the Grapevine and LaVina, through grants (above GSB prudent reserve). That is why we buy from AAWS.          a. Order minimum of $500 to avoid postage charge;          b. Books become cheaper the more purchased. (CASO does not pass savings on and is Area 19. Purchase from AAWS saved members over $400 in
                   reduced costs of the Book allowing us to purchase more!)          c. Where funds do not exceed $500 and are needed immediately, order from CASO and pick up so postage is not charged.
  4. AA member is giving the book away and taking the alcoholic through the book, as opposed to the facility. In instances of the detox unit, a book is only given if the AA member determines the prospect is ready.
  5. AA History: Uniform message delineating a program of recovery. Bill believed book should be given away. Hank P., motivated by profit, believed  we should charge for the Book. Hank was drunk by or around the time of the publication of the book, April 10, 1939, and died drunk. 6.     C. Protocol:

  1. Receipt Book: Always give a receipt to the individual giving you money, which may be in cash. Make sure to have Name, AA group (day of the week, location and time), phone number, email address, and amount given. Until you have enough contributions to purchase books, you want to have checks and balances in place so that there is not even the appearance of impropriety.
  2. Spreadsheet: Add the amounts donated immediately so not to forget; subtract from D42 budget. ($3,800 in 2019), denote direct donations (“DD”), include in quarterly report at a minimum. Anonymous donors listed by number only but separate sheet within spreadsheet has individual’s name. (Spreadsheet provided 2016-2018)
  3. Make sure to report to Treasurer each month and include in your monthly TFC report so members see. Acknowledge the group and its contribution publicly at the monthly District meeting. Spiritual principle of transparency, accountability, and precedence and procedure, established when chairs rotate out.
  4. TFC Report: ALWAYS tender a report each month. Keep it simple, but never say you have nothing to report. Always acknowledge any contributions in your monthly report. Add flyer if volunteers needed, minimum of year-end accounting.
  5. Always think of the GOOD of AA; never be offended when questioned. We want them to question us, lest dishonesty finds us. Remember: checks and balances. Humility is to feel that nothing is done against me.

IV. D42 FACILITIES:

A. Hinsdale Hospital (“HH”):

  1. Location: “Detox” is on 2nd floor; this is not a unit per se. Rather, alcoholics are placed in regular rooms.
  2. Books: Books and directories are kept in 2nd floor library. Sometimes one of the AA volunteers will text and make you aware that the book supply is low. Otherwise check every 1-2 months and restock.
  3. This is “off-the-grid”. Because of mergers and confusion within HH, there are no Hospital requirements.
  4. It is suggested we do not advertise or create a flyer for HH, but rather let people know who do not qualify for Good Sam Hospital, and want to work with others, that they can call the nurse’s station and go and talk to an alcoholic (of the same gender) in the bed. 630-856-2900. (AA member Maria A. is a good contact as she participated when meetings were held weekly in the library, but no longer are. 312-859-5406).

B. New Day Center (“ND”)

  1. High turn over regarding professionals for purposes of contact. (The contact would office directly “kiddy corner” from the entrance and reception area of ND.
  2. AA volunteer does scheduling for New Day – Sandy (male) 630-632-5335 and draws on ND “graduates”.
  3. Other ‘ad hoc’ AA members run ND aftercare programs.
  4. Contact professionals to inquire if there is any way AA can assist the hospital or is there a need not met. No controversy. Principles before personalities. Remember unity and the good of AA always.
  5. Books are generally not provided at ND because clients go to outside meetings.

C. Good Samaritan Hospital (“GSH”)

  1. GSH Requirements:
    • Minimum 2 years continuous sobriety, actively sponsored, actively attending AA meetings, including a home group.• Register: https://www.volgistics.com/ex/portal.dll/ap?ap=101525846 (Put “12 stepper” down as your reference and “12 step” as area/subject.)

    • Once online application complete, LOOK FOR EMAIL FROM GSH Volunteer Coordinator. The EMAIL will give instructions how to pick up “Onboarding” packet. (7-10 business days). AA has nothing to do with this process.

    • Applicant will be directed by GSH to:
                – contact Employee Health for mandatory vaccination (flu shot exemptions for medical/religious are available)

    – complete online background check
    – provide copy of vehicle registration & driver’s license and obtain GSH ID badge to be worn when volunteering.

    • Once approved by GSH, contact AA scheduler 630-999-3900 [AA member Kathy P] to do initial shadow visit. Once initial shadow completed, approved volunteer can be put on the schedule, according to their availability.

  2. GSH Detox Unit (Main Hospital, 5th floor, generally)a. The actual “Detox Unit” was closed in November 2018 and is in process of reorientation. Stay posted to new details.

    b. AA volunteers are scheduled daily, one male, one female.

    c. Alcoholics are now put in regular rooms, generally Unit 52, 53, 51.

    d. The AA volunteers call the professional on their scheduled day to obtain location of alcoholics around GSH. Karen Fergle (karen.fergle@advocatehealth.com) and Royal (male) are the GSH professionals and are very helpful to AA. 630-275-1709.

    e. AA volunteer parks in volunteer parking during normal hospital hours (up until 5p.m.) and wear their badge at all times.

    f. AA volunteer must sign in and out on level one, (not ground level) of the main hospital building.

    g. After signing in, go to 5th floor, Unit 52, by new bed tower (north elevator). Go to nurses’ station. There is a small side room with no door, behind the nurses’ station that has a file cabinet. AA volunteers store Big Books and directories in the bottom drawer. Contact Kathy P. to give literature or take up yourself.

    h. Contact Kathy P. 630-999-3900 to determine need.

  3. GSH Psych Unit (North Pavilion, 3rd Floor, locked unit)a. AA volunteer also brings AA meeting to psych unit on day assigned (Detox Schedule), if availability meets with GSH daily scheduled program. (Sat. through Thurs.)b. Friday is not governed by the GSH requirements because it is an AA meeting, staffed optimally with one male, one female AA volunteer. 3. The TSAC Chair or committee members are required to have telephone, software, and hardware experience, the ability to maintain the answering service systems, and generate activity reports.

4. Activity reports are to be made available at each District meeting.

5. The TSAC Chair will maintain the District’s equipment and ensure that it is housed in a secure location that provides 24/7 access, and provides backup power capability.

6. The TSAC Chair will maintain a listing of all volunteers with current phone numbers and addresses; and updates it as needed on a timely basis.

7. The TSAC Chair will maintain the meeting schedule in the database, keeping all meeting information current and accurate.

8. The TSAC Chair should have a knowledge of working with “wet” drunks, and a solid working knowledge of Chapters 2, 3, and 7 in the Big Book.

9. The time required for the TSAC Chair is estimated to be approximately five (5) hours per month.

10. All activities of the TSAC should be conducted in concert with the guidance provided by the GSO and the NIA Service Handbook.

ALTERNATE TWELVE STEP ANSWERING SERVICE COMMITTEE CHAIR

2. The Alternate Twelve Step Answering Service Committee (TSAC) Chair will assist in all phases for TSAC activities as directed by the Chairperson.

In addition, a solid degree of technical aptitude is required for this position, although the ability to write code is not a prerequisite. Due to the sensitive nature of some of the information that is processed by the Committee Chair, a minimum of two years of continuous sobriety is recommended for this position.

2. The Website Committee develops and maintains the Website for District 42. This Website is a major communication vehicle for District 42, and it is important that information be updated frequently. The District 42 Website is available at http://www.aa-nia-dist42.com. Activities of this Committee should be conducted in accordance with the GSO and NIA Service Manuals and guidance.

3. The Website contains information to assist individuals in finding AA in District 42, provides information on the times and locations of open and closed AA meetings, provides information on upcoming District events such as Workshops, and provides other information on District 42 as appropriate; as well as at other levels of AA, including individual Group, Regional, CASO, National, and International.

3. The Website contains a listing of current District 42 Officers and Committee Chairs, and identifies open positions. The Website Committee will update information on the Website as requested by the DCM and other District Officers and Committee Chairs.

4. The Website Committee Chair is responsible for communications with the company hosting the Website and keeping the domain registration current. The Chair pays all Website costs and submits receipts to the District 42 Treasurer for reimbursement.

5. The Website Committee will keep track of Website usage (number of unique hits) and report this information at the monthly District meeting.

6. The estimated time required for the Website Committee Chair position is expected to be approximately five – ten (5-10) hours per month.

ALTERNATE WEBSITE COMMITTEE CHAIR

1. The attributes for District 42 Officers Chairs given on page 4 apply to this service position, as appropriate to the specific responsibilities of this position.

2. The Alternate Website Committee Chair will assist in all phases for Website activities as directed by the Chairperson.

3. The Alternate Website Chair will make announcements at District 42 Business meetings when the Chairperson is not there, and will vote in the Chairperson’s place as needed.

4. The Alternate Website Chair will also serve a two-year term and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.

WORKSHOP COMMITTEE

2. Workshop Committee Chairperson should have two years sobriety, a car and a driver’s license and be able to afford fronting some money, (less than $100 usually) each month to the District in order to buy supplies and wait for reimbursement (possibly 30 days) from the Treasurer.

3. The Workshop Committee is responsible for organizing and hosting District 42 Workshops. These Workshops are generally conducted once a month on the fourth Saturday of the month. There may not be a Workshop in December due to holiday commitments of individuals and the church hosting the Workshops.

4. The Committee is responsible for ensuring that all materials for the Workshop are available when needed and works with the District Literature Committee to acquire any AA materials needed.

5. The Workshop Committee Chair reserves the meeting space for the Workshops and negotiates the rent for use of this space. The Committee Chair arranges for the room setup and cleanup, as well as arranging for refreshments (such as bagels, doughnuts, fruit, yogurt, coffee, and water). The Chair pays all Workshop supply costs and submits expense reports and receipts to the District 42 Treasurer for reimbursement.

6. A 7th Tradition collection will be taken at each Workshop and all proceeds will be forwarded by a check from the District 42 Treasurer to the Christ Church of Oak Brook as rent for that day’s Workshop as per agreement in January 2017 with CCOB.

7. The Committee Chair is responsible for advertising Workshops by developing flyers that can be distributed throughout the District and included electronically on the District 42 and NIA Websites. The Chair ensures that announcements are also included in the Breakthrough newsletter. 60 copies of each Workshop Flyer will be made available at the District meetings by the Alt Secretary.

8. The Workshop Committee Chair will recruit Home Groups and/or qualified individuals to prepare and present informative and educational Workshops with topics pertinent to AA and recovery from Alcoholism.

9. As a rule, such Workshops will be closed (limited to AA members only), unless otherwise stated as “OPEN” in the flyer for that specific event.

10. The time required for the Workshop Committee Chair position is estimated to be approximately ten – twelve (10 – 12) hours per month in total, which includes attending the District business meeting, the Workshop itself, setup and clean up, shopping, and report preparation.

ALTERNATE WORKSHOP COMMITTEE CHAIR

1. The general attributes for District 42 Committee Chairs given on page 4 apply to this service position as appropriate to the specific responsibilities of this position.

2. The Alternate Workshop Chair should have one (1) year of sobriety, a car and a valid driver’s license, and be able to afford to front some money each month to the District in order to buy supplies and wait for reimbursement (possibly as long as 300 days), as needed.

3. The Alternate Workshop Committee Chair will assist in all phases of Workshop activities as directed by the Chairperson.

4. The Alternate Workshop Chair shall make announcements at District 42 Business meetings when the Chairperson is not in attendance, and will vote in the Chairperson’s place as needed.

5. The Alternate Workshop Chair will also serve a two-year term, and be prepared to take over as Chair when that person either rotates out of service or leaves for any reason.

DISTRICT 42 JOB DESCRIPTION AMENDMENT PROCEDURE LET THE CONCEPTS AND THE TRADITIONS ALWAYS BE OUR GUIDING PRINCIPLES

When any member of AA within District 42 believes that a change or changes need to be made to a given District 42 Job Description, proceed as follows:

A. Contact the Chairperson of the Committee or the District Officer to whom the relevant Job Description applies. Obtain the Chairperson’s or Officer’s verbal approval. Upon receipt of this approval, proceed to Step B. (Should the Chairperson or Officer not approve of the proposed change, then the proposed change is considered tabled and goes no further.)

B. Secure an “AMENDMENT REQUEST FORM” (ARF) from the District Secretary or download a form from the District website. Complete the ARF and forward it to the Committee Chairperson or Officer for his / her formal approval and signature.

C. The Committee Chairperson or Officer then forwards the ARF to the District Secretary, with copies to the DCM and Alternate DCM, at least one week prior to the next District meeting with a request that it be included on the meeting agenda. All agenda items are scheduled at the discretion of the DCM.

D. At the District Meeting, the Committee Chairperson or Officer presents a motion to the voting members of the District to approve the recommended change(s) to the Job Description in question. A “Yes” vote of two-thirds of the voting members present is required for approval.

  1. If a two-thirds majority is not achieved, rejected ARFs may be re-submitted at the discretion of the District Officer or Chairperson of the Committee. impacted by the proposed change(s).

E. Approved ARFs are submitted to the ARCHIVIST for inclusion in the Original JD document as Addendums, with the corrections / additions / deletions being noted in  the appropriate Job Description section.
